This agreement applies when an accounting or bookkeeping firm (the “Firm”) uses an Ai Book Sort firm plan to process documents for its own clients. It forms part of the Terms of Service. For the client documents a Firm uploads, the Firm decides why and how they are processed, and Ai Book Sort processes them only on the Firm’s behalf.
1. What we process
Bank and credit-card statements, receipts and the transaction lines read from them, plus the names and email addresses of the Firm’s members. We use them only to read, sort and return the results to the Firm, to bill the firm plan and to keep the service secure.
2. The Firm’s responsibilities
- Have its clients’ permission to upload their documents.
- Give logins only to its own staff, each with their own account. Every firm member must turn on two-step sign-in (2FA).
- Remove members who leave the Firm.
3. Our responsibilities
- Process client documents only to provide the service, never to sell them or to train outside AI models.
- Use only the providers listed on the Service Providers page.
- Keep documents encrypted and delete them as set out in the Data Retention Policy.
- Watch firm accounts for unusual activity (many downloads in an hour, downloads at unusual hours, sign-ins from a new network) and record every member’s downloads in an audit log the Firm can ask for.
- Tell the Firm without undue delay if we learn of a breach affecting its clients’ documents.
4. End of the firm plan
When the firm plan ends, the Firm can download its results during the notice period. After that, documents are deleted as set out in the Data Retention Policy.
